    • Welcome to the SCVMC PA team, and we’re excited to have you come on board! In preparation for your first shift, we will first have you meet with our Site Coordinator, Diajai Rhines, who will be setting up your orientation, site tour, and EMR training. Please review the orientation packet attached to the end of this email, as it has helpful information such as door access codes, the hospital admission grid to aid in which service to admit to, as well as scope of practice information. Additionally, please visit the SCVMC work apparel store (https://workapparel.store/fulfillmentshopvmc/shop/home), select an item of outerwear (fleece, etc) to wear on-shift and let us know your preferred size and embroidery selections.
    • SCVMC Triage Booklet
      • Please ask for a hard copy of this booklet during your first onboarding shifts; they are located in the provider office (badge access, as it also houses our snacks!)
    • Onboarding Process:
      • Please contact Diajai (drhines@vephealthcare.com, 408-885-6298) and provide your availability for your onboarding orientation which will include the following:
        • EMR training (EPIC): if you have used EPIC in the past, it’s a 4 hour training; if you are new to EPIC, it is an 8 hour training. Please let us know which one you require.
        • Obtain SCVMC ID badge and parking permit
        • Tour of Emergency Department, Express Care, and Rapid Medical Evaluation
        • Testing your logins
        • Short shadowing of PA (1-4 hours, time dependent)
        • Training shifts
          • You will be scheduled for 5-6 onboarding shifts as extra staff with an experienced PA to help you learn the department’s workflow; please let us know your availability for these shifts ASAP
      • APC Onboarding Expectations Timeline
      • When you meet with Diajai, please bring with you a drivers license & social security card to obtain the following and complete your I-9. Keep a look out for an email via DocuSign. It will include your County Access Request, I-9 as well as SCVMC Meal Waiver form.
      • Scheduling:
        • To view the schedule for Santa Clara Valley Medical Center, including the daily and monthly schedule, please login to www.amion.com, and enter “VEP SCVAPC” without the quotation marks.
        • Please submit your availability on http://www.xoyondo.com/u/scvmcapc, 2.5 months in advance, by the 15th of the current month. There is no account creation required for submission. With every submission, please include a comment below where you indicate the number of shifts you would like, if you prefer morning/afternoon/evening shifts, and any additional considerations you would like to let us know.

      • Alternative Work Schedule:
        • An on-duty meal waiver is currently in place at Santa Clara Valley Medical Center, and I want to take this opportunity to explain how the form works.
        • By employees signing this on duty meal waiver form, it allows employees to take a paid lunch break at any time throughout the day. If employees are not able to take a lunch throughout the day, they would need to complete the “Time and Attendance Form” and let you know and you would receive the missed meal penalty for that day. It’s the employee’s responsibility to notify their manager that they didn’t receive a lunch that day.
        • Each employee would need to complete the form even if they have completed it for another site.
        • By not signing this form, employees would then be required to take a 30 minute “non- paid” lunch by the end of the 5th hour (5 hours and 59 minutes) to which they must clock in and out.

          • To prepare for working in the emergency department, HippoED (https://www.hippoed.com/em-bootcamp) offers a great training course that is a good introductory to clinical emergency medicine (73.5 Category 1 CME credits), as well as a 1200+ question bank (100 Category 1 CME credits); this is reimbursed for you separate from your CME allowance within your first year of employment with VEP; starting Q3 2020, a roadmap for completion with questions and modules over 6 months will be available; please contact us prior to purchase, as we have worked out a site- specific discount with the authors.
